Why data entry is measured in keystrokes
Keystrokes per hour is the speed unit of data-entry work. A form full of names, dates and reference numbers doesn't read like prose, so counting it in words makes little sense; counting the keys that went in correctly does. The hour is only a scale. Nobody types for an hour on this keystrokes per hour test; the figure is projected from the time you actually spent.
Some employers who test for keying work state their requirement this way. A U.S. Census Bureau announcement for a data entry clerk (GG-1531-04, posted in 2019), for example, asked for 5,400 keystrokes per hour or 25 words per minute with three or fewer errors on a five-minute sample, for work it described as alpha/numeric data entry keying.
How your KPH is calculated here
Only correct keystrokes count. The formula is correct keystrokes × 3600 ÷ seconds typed, with the seconds running from your first key to the end of the timer. Key 540 correct characters in a three-minute run and you get 540 × 3600 ÷ 180, which is 10,800 KPH.
Wrong keys add nothing, and neither do the backspaces you use to remove them, though the time they take stays on the clock. That makes KPH stricter than raw speed. It rewards only the characters that would have landed correctly in the record, which is the part an employer actually needs.
Converting between KPH and WPM
The two units are tied together by the five-character word. One WPM is five characters a minute, and an hour holds sixty minutes, so one WPM works out to 300 characters an hour. When every keystroke is correct, KPH is about your WPM times 300: 40 WPM comes to roughly 12,000 KPH, and 10,800 KPH to 36 WPM.
Once errors appear the match loosens, because the two measures treat mistakes differently. Employers also convert in their own ways. The Census posting above pairs 5,400 KPH with 25 WPM, yet by this arithmetic 5,400 KPH is 18 WPM, which suggests their test counts by its own rules. Why the text reads like a stack of forms
The passage is generated as records: a reference and a name with a date and an amount, an address line, an account balance, a contact with a phone number and email. That is the texture of real keying work. You move between capitals, lowercase, digits and separators such as slashes, hyphens, commas and decimal points, often inside a single field.
Prose lets you lean on spelling habits built over years, and records take that support away. A date or a reference has to be read and typed character by character, so a test on records measures the skill a data-entry role draws on rather than your speed on familiar sentences.
Main-keyboard KPH versus 10-key KPH
KPH tests come in two kinds. A 10-key test uses only the numeric keypad, typed with one hand, and measures pure number entry such as amounts and account codes. An alphanumeric test uses the main keyboard and mixes letters, digits and punctuation. This page is the alphanumeric kind: digits come from the number row above the letters, and the on-screen keyboard draws that row.
The two scores are not interchangeable, so quote the one a posting asks for. If a role calls for 10-key speed, practice on a keypad. If it calls for general data entry, the three- and five-minute runs here are the closer match, and the five-minute length is the same as the sample in the Census posting.
